Create an Application

The first step is to visit https://censorum.dk/ansoegning. Here, you will find a dropdown menu where you can select where you would like to serve as an external examiner. Once you have made your selection, a list of external examiner corps will appear, allowing you to choose which corps you would like to apply to.

Please note that the list does not display subject areas. It only shows external examiner corps and their associated educational programmes. You will select your subject areas after choosing the external examiner corps you wish to apply to. The educational programmes column shows which programmes are associated with each corps. You can also apply to multiple external examiner corps at the same time.

When an external examiner corps has an open application period, a button labelled Create Application will appear. Once your application has been submitted, the button changes to View Application, allowing you to review the information you have entered without being able to edit it. If the application period is closed, the text Applications Closed will appear instead, and no button will be available.

Please note that, in some cases, a waiting list may be open. You can join it directly by clicking the yellow Join Waiting List button. This feature is described in more detail later in this guide.

The information and steps described in this guide represent the standard application form. However, each external examiner corps can customise the form according to its needs. This means that the content may vary, and some steps may differ from those described in this guide.

If you have previously submitted an application to an external examiner corps, your information will automatically be saved. If you apply to another corps using the same application form, the information from your previous application will be transferred automatically. However, you will need to select your subject areas again.

Waiting List

If you would like to apply to become an external examiner but the relevant external examiner corps is not currently accepting applications, you can join its waiting list.

Visit https://censorum.dk/ansoegning and click the yellow Join Waiting List button. A pop-up window will then appear.

The waiting list process is similar to the regular application process, but you only need to complete two steps:

  1. Personal Information – If you have not previously entered your personal information, you must provide the basic details used to create your profile and ensure that your contact information is correct. This information is automatically saved, so you will not need to enter it again when submitting additional applications.
  2. Subject Areas – Select the subject areas for which you would like to serve as an external examiner. Subject areas are specific to each external examiner corps, so you must select them again whenever you submit a new application.

Once you have completed the Personal Information section, scroll down in the pop-up window and click Next.

After selecting your subject areas and clicking Next, you will automatically be added to the waiting list.

You are now registered on the waiting list and do not need to take any further action. You will be contacted when the application period opens again, at which point you can provide the remaining information required for your application.

If you have entered incorrect information or wish to change your selected subject areas, you can return to https://censorum.dk/ansoegning. The Update Waiting List option will appear next to the external examiner corps whose waiting list you have joined.

Step 1: Personal Information

The first step in applying to become an external examiner is to complete your personal information.

In this step, you provide basic personal details that form the foundation of your profile in the system. This information ensures that you can be correctly identified and contacted.

You can also upload a profile picture. Although this is optional, it can provide a more personal and professional presentation. If you choose to upload a picture, we recommend using a neutral and professional image.

All other fields are mandatory and must be completed before proceeding to the next steps of the application process. If any required information is missing, the system will notify you so that you can correct it.

Your personal information is linked to you as an individual rather than to a specific application. This means that if you apply to another external examiner corps and update your personal information, the changes will also be reflected in your previous applications.

When you have finished, click Next at the bottom of the page to save your information and proceed to the next step.

If you return to a previous step and make changes, these changes will only be saved when you click Next again.

Step 2: Professional Background

In this step, you must provide an overview of your professional background.

You will present information demonstrating your suitability and qualifications as an external examiner. The purpose is to highlight your expertise and experience within your field.

You will be asked to provide your current job title, highest level of education, and educational qualification.

You should also describe your key areas of expertise, including both technical and interpersonal skills relevant to external examination work.

You can include your employment history and relevant experience, such as previous and current positions, as well as projects that demonstrate your qualifications as an external examiner.

You may also describe your professional interests, highlighting specific topics or areas that are particularly relevant to external examination work.

It is important to provide accurate and detailed information, as it will be used to assess how well your background matches the requirements of the external examiner corps.

Please note that your job title and educational qualification are mandatory fields. Although it is technically possible to proceed without providing further details, this is not recommended, as the information is used to evaluate your suitability for the external examiner corps.

Your professional background is linked to you as an individual rather than to a specific application. This means that if you apply to another external examiner corps and update this information, the changes will also be reflected in your previous applications.

If you apply to multiple external examiner corps covering different subject areas, you should therefore avoid tailoring this section exclusively to one corps, as the information is shared across applications.

When you have finished, click Next at the bottom of the page to save your information and proceed.

If you return to a previous step and make changes, these changes will only be saved when you click Next again.

Step 3: Employment

In this step, you must register your current and previous employment or affiliations with relevant educational institutions.

This information is required to ensure compliance with the regulations governing examinations, particularly the rules concerning employment relationships and the allocation of external examiners.

You must therefore provide details of any employment or affiliations with educational institutions within the past two years, including start and end dates for any employment or affiliations that have ended.

Please note the following:

  • You can add more than one employment relationship by clicking Add Employment again.
  • Work as an external examiner is not considered an affiliation with an educational institution and should therefore not be registered here.
  • Secondary affiliations include positions such as external lecturer, teaching assistant, and similar roles, as well as other honorary or affiliated positions.
  • Members of a university’s board cannot serve as external examiners.

This information helps ensure compliance with impartiality requirements and prevents conflicts of interest when external examination assignments are allocated.

Your institutional background and employment information are linked to you as an individual rather than to a specific application. This means that if you apply to another external examiner corps and update this information, the changes will also be reflected in your previous applications.

When you have finished, click Next at the bottom of the page to save your information and proceed.

If you return to a previous step and make changes, these changes will only be saved when you click Next again.

Step 4: Subject Areas

In this step, you can select the subject areas for which you wish to apply to become an external examiner.

Your selection is important because it determines the types of examinations and assignments you may be allocated as an external examiner.

In the list of subject areas, educational programmes are displayed in larger text with a dotted line underneath. Below each educational programme, you will find the subject areas available for selection.

Some subject areas may not be associated with a specific educational programme but instead belong directly to the external examiner corps.

Please note that some external examiner corps may limit the number of subject areas you can select. We therefore recommend carefully considering your choices and selecting only the most relevant or preferred subject areas.

The available subject areas are determined by each external examiner corps, and you cannot apply for a subject area that is not included in the list.

Because subject areas are specific to each external examiner corps, they are not saved across applications. You must therefore select your subject areas again whenever you apply to a new corps.

When you have finished, click Next at the bottom of the page to save your selections and proceed.

If you return to a previous step and make changes, these changes will only be saved when you click Next again.

Step 5: Qualifications from Employment

In this step, you must register the employment-related qualifications relevant to your application for appointment as an external examiner.

The purpose is to document your professional experience and demonstrate how it supports your qualifications within the subject areas for which you are applying.

For each relevant employment position, you will be asked to provide:

  • Your job title.
  • The name of the company or institution where you were employed.
  • The city where the workplace is located.
  • The period during which you held the position.

You can also attach your CV and add a comment about the position.

The comment field can be used to explain how the employment is relevant to the subject areas for which you are applying. You may wish to highlight specific responsibilities or projects that demonstrate your experience and qualifications in relation to external examination work.

If you have held several relevant positions, you can add them by selecting the option to add another employment entry.

If you have previously applied to another external examiner corps using the same application form, the information from this step will automatically be transferred to your new application.

However, you can freely edit the information to tailor it to the specific application without affecting your previous applications.

When you have finished, click Next at the bottom of the page to save your information and proceed.

If you return to a previous step and make changes, these changes will only be saved when you click Next again.

Step 6: Educational Qualifications

In this step, you must register the educational qualifications relevant to your application as an external examiner.

This part of the application process helps document your academic background and how it relates to the subject areas for which you are applying.

For each relevant qualification, you must provide:

  • The level of education, such as Bachelor’s degree, Master’s degree, or PhD.
  • The name of the degree or educational programme.
  • The institution where you completed your education.
  • The date on which you completed the qualification.

You can also attach supporting documents, such as academic transcripts or degree certificates, to substantiate your qualifications.

If you believe that your education is particularly relevant to the subject areas for which you are applying, you can add a comment explaining the connection.

If you have multiple relevant qualifications, you can add them by selecting the option to create another education entry.

Step 7: Knowledge of the Educational Programme

In this step, you must explain how you have acquired knowledge of the subject area or educational programme for which you are applying to become an external examiner.

This step is important for assessing your suitability and understanding of the relevant field, so it is essential to provide accurate information.

You must describe how you have acquired your knowledge of the educational programme. You can choose between the following options:

  • Through Work: Select this option if you have gained knowledge of the subject area or educational programme through professional experience, such as supervision, teaching, employment, or similar activities.
  • Through Education: Select this option if your knowledge comes from formal education you have completed.

If your knowledge of the educational programme does not come from work or education, leave both options unselected and instead describe your knowledge in the comment field.

Step 8: Knowledge of the Professional Field

In this step, you must explain how you have acquired knowledge of the professional field in which you wish to serve as an external examiner.

This step is important to ensure that you have the necessary up-to-date knowledge and insight into the field.

You must describe your knowledge of the professional field and can choose between the following options:

  • Through Work: Select this option if you have practical experience or have worked within the professional field, providing you with relevant insight and up-to-date knowledge.
  • Through Education: Select this option if your knowledge of the professional field comes from formal education that has given you a fundamental understanding of the area.

If your knowledge of the professional field does not come from work or education, leave both options unselected and instead use the comment field to explain how you acquired your knowledge.

If you have previously applied to another external examiner corps using the same application form, the information from this step will automatically be transferred to your new application.

However, you can freely edit the information to tailor it to the specific application without affecting your previous applications.

When you have finished, click Apply at the bottom of the page to save your information and submit your application.

If you return to a previous step and make changes, these changes will only be saved when you click Next again.

Once you have completed your application, you can return to https://censorum.dk/ansoegning to view your applications and their current status.

My Applications

Under My Applications, you can view the applications you have submitted.

By clicking the blue link next to an application’s name, you can open it and review its contents.

If your application is still being processed, it may have the status Under Editing.

If your application has this status and has not yet been administratively reviewed by an administrator or the external examiner board, you can still edit it.

This means that if you wish to make changes to your application, you should do so as soon as possible, before it is reviewed.

If your application has been reviewed but the person responsible for processing applications has marked it as incomplete, a yellow warning icon will appear.

In this case, you can either correct the application directly or withdraw it, update the information, and submit it again.

Once your application has been fully processed, the result will be displayed instead of the Under Review status.

At this point, you will no longer be able to make changes to your application.
